We are seeking a Medical Scheduler to join our team!

GENERAL SUMMARY OF DUTIES: Responsible for handling incoming calls, taking messages and appropriately directing calls to physicians, other medical personnel, support staff and management. Responsible for making and scheduling patient appointments over the telephone in an efficient and timely manner. Considered a public relations person who serves as a liaison between patient, physicians, and medical support staff. Assists Medical Records with managing medical information required for patient visits. Provides a variety of clerical/filing duties.

SUPERVISION EXERCISED: None

TYPICAL PHYSICAL DEMANDS: Work requires sitting for long periods of time. Also stooping, bending and stretching for files and supplies. Occasionally lifting files or paper weighing up to 30 pounds. Requires physical hand dexterity and full range of motion to operate a multi-line phone, keyboard, type at 40 wpm, operate a computer, calculator, telephone, copier, postal and such other office equipment as necessary. Requires ability to hear within normal range for in person and for telephone contacts. Vision must be correctable to 20/20. It is necessary to view and type on computer screens for long periods and to work under stressful or emergency situations with high concentration and energy level. Must be able to speak, hear, read and write the English language. Must have the mental capacity to work in an organized, independent manner, and be able to make good judgment decisions. Must demonstrate a professional and courteous disposition and an ability to communicate well. Must have a neat, clean and friendly appearance.

TYPICAL WORKING CONDITIONS: Work is performed in scheduling office and involves frequent telephone contact with patients and the public. Work may be stressful at times due to high telephone volume or upset patients. Interaction with others is constant and interruptive. Provides a variety of clerical and filing duties.

EXAMPLES OF DUTIES: (This list may not include all the duties assigned.)
• Answer multi-line telephone, screens and directs calls for physicians and nursing personnel, takes messages and responds to routine requests for information. Responds to emergency calls and utilizes established procedures.
• Schedule appointments, reschedules appointments, and maintains schedules on the computer for meetings, court appearances, lunches, time-off, etc.
• Verifies patient demographic and insurance information and records in the computer system.
• Reviews physician schedules to ensure patients are scheduled properly and appointments are confirmed.
• Answers questions regarding patient appointments and testing.
• Generate recall report and contact patients to schedule follow-up appointments.
• Request records from referring/consulting physicians, lab results and imaging reports.
• Review new patient records and schedule new patients appropriately.
• Process and send schedule to the Televox patient reminder call system.
• Complete necessary physician, RN, MA requests for patient needs.
• Print daily physician schedules.
• Maintain work area in a neat and orderly manner.
• Assists other staff members as requested.
• Maintain all medical and patient information in a confidential manner. .
• Regularly review the Privacy and Security Policies and Procedures.
• This position requires access to PHI. Use the minimum necessary policy when accessing PHI.
• Follow office policies and procedures.
• Assist in care and maintenance of office equipment and supplies.
• Attend and participates in meetings, educational activities and programs as required.
• Performs duties of the Medical Receptionist position as detailed in the Medical Receptionist job description.
• Performs duties of the Medical Records position as detailed in the Medical Records job description.
• Perform other related work as required.

PERFORMANCE REQUIREMENTS: KNOWLEDGE, SKILLS & ABILITIES
• Ability to speak clearly and concisely with a helpful and pleasant telephone voice.
• Ability to establish and maintain effective working relationships with patients, physicians, employees and the public.
• Ability to maintain confidentiality of sensitive information.
• Ability to handle stressful situations.
• Ability to sort, read, understand and follow oral and written instruction.
• Knowledge of electronic medical office scheduling/record software and procedures.
• Knowledge of multi-line phone/switchboard and communication procedures and systems.
• Knowledge of common safety hazards and precautions to establish a safe work environment (OSHA).
• Knowledge of Privacy and Security Policies and Procedures (HIPAA) and how to handle Protected Health Information (PHI).
• Skill in operating a computer, computer software, photocopy and postal machines.
• Skill in English grammar, spelling and punctuation to type simple correspondence.

EDUCATION:
• Graduation from accredited high school or GED.
• Graduation from business school/college and/or medical courses is helpful.

EXPERIENCE:
• One year in an office setting, preferably in a medical/clinical setting, is preferred.
• Knowledge of medical practice/procedures and terminology is preferred.
• Word processing and computer experience is preferred.
• Ability to type 40 wpm

ALTERNATIVE TO MINIMUM QUALIFICATIONS: Additional appropriate education may be substituted for minimum experience requirement.

HOURS: Between 7:30 am to 5:30 pm, Monday through Friday. These hours are guidelines only and are subject to change by the employer.

Assists Medical Records with managing medical information required for patient visits. Collects patient payments. Provides a variety of clerical/filing duties.

SUPERVISION RECEIVED: Reports to Billing/Front Office Supervisor

SUPERVISION EXERCISED: None

• Greets patients and visitors in a prompt, courteous, and helpful manner.
• Check-in patients on the computer system and verify necessary information (current address, phone number, insurance and payment). Obtains a copy of insurance card and has patient complete and sign a registration form when required.
• Collect co-payment, co-insurance, deductible and/or patient balance at time of visit and issue receipt.
• Reconcile cash and balance cash drawer daily.
• Print fee slips and assure patient paperwork is complete.
• Schedule appointments, reschedule appointments, schedule patients from the recall list and maintain schedules on the computer for meetings, rep lunches, time-off, etc.
• Create NextGen lab and imaging study orders and schedule.
• Document no shows and notify patient and the physician.
• File patient medical information and correspondence in the Electronic Medical Record.
• Prepare a daily schedule for the physician, nurses and medical assistants.
• Complete necessary physician/RN/MA requests for patient needs.
• Send out-going faxes as designated.
• Assist patients with ambulatory difficulties.
• Maintain work area and lobby in a neat and orderly manner.
• Assist other staff members as requested.
• Maintain all medical and patient information in a confidential manner.

We are seeking a Medical Assistant to join our team!

The minimum qualifications include:

  • Minimum of one year of medical assisting experience, or school equivalent required
  • Certified through accredited program such as AAMA, NCCT, AMT, NHA preferred
  • Experience with electronic medical records preferred
  • Must be comfortable in a fast-paced environment
  • Exceptional patient care
  • Ability to interpret, adapt, and apply guidelines and procedures

Duties include but are not limited to:

  • Set up lab, procedure and examination rooms daily.
  • Review charts for lab and diagnostic results and prepare for clinic. Have imaging films ready
  • Greet and escort patients to the examination room and prepare patient for the physician exam
  • Screens patients for appropriate information and takes/records vital signs when necessary
  • Instructs patients in collection of samples and tests
  • Assist physicians with patient flow in the clinic
  • Document pertinent patient information in the Electronic Medical Record (EMR) and maintain timely, complete documentation in other areas of record keeping ensuring accurate continuity of patient care
  • Input information to the EMR from the patient paperwork, chart or referring physician records
  • Collect, log and spin urine specimens. Document results in the EMR
  • Prepare urine for culture or complete/prepare additional lab studies (NMP-22, FISH, cytology, stone analysis, etc.)
  • Dispense medication as directed by a physician

This position is Monday-Friday with hours to vary between 8:00AM-5:00PM or 8:30AM-5:30PM.
